Open Organization → Facilities and select the Rooms tab. Filter by Building, Type, Feature, or Fits at least a number of people, and search by name.
Add a room
Select New room. You need Manage facilities.
Basics
- Name, Building (or No building), Type, Capacity, Floor, and Color.
- Features: like a projector, piano, or kitchen.
- Part of a bigger room: for rooms that can be opened up, like Fellowship Hall A and B.
- Description: where it is, what’s in it, and who to ask for keys.
Booking rules
- Can be booked: turn off for offices, storage, and rooms you only track.
- Needs approval: bookings start as requests until an approver confirms them. Add Approvers, who can approve without Manage facilities.
- Who can book: Everyone with Facilities or Only these people.
- Setup time before and Cleanup time after, in minutes.
- Book at least a number of hours ahead, and the Longest booking.
- Open hours: bookings must fit inside them.
People with Manage facilities can book outside these rules.
A room’s page
Select a room to see its details, booking rules, layouts, what Meets here (groups and connects), and what’s Coming up. Use More to Edit, Print door QR label, Archive room, or Report a problem. Book books it.
Combined rooms
If a room is Part of a bigger room, booking either one blocks the other. A room Made up of smaller rooms blocks all of them when booked.
Layouts
Layouts are the ways a room can be set up, like “Banquet”, “Theater”, or “Classroom”. People pick one when they book, and it becomes the setup checklist.
For each layout, set a Name, Setup time, a Diagram (a photo or drawing of how the room should look), the Furniture (each row becomes a checklist step), whether it Needs a teardown, and Notes.
Door labels
Select Door labels on the Rooms tab to print QR labels for your doors. People scan a label to see what’s booked in the room, book it, or report a problem.
