Facilities
Track equipment and vehicles, check them out and back in, and print asset labels.

Equipment is anything people borrow or that needs looking after: projectors, mics, tables and chairs, vans.

Open Organization → Facilities and select the Equipment tab. Switch between Inventory and Checked out. Filter by Category and Status (Available, Checked out, Overdue, Needs repair).

Add equipment

Select New equipment (you need Manage facilities):

  • Photo, Name, Category, and Asset tag.
  • Tracked: One by one (each has its own tag) or By quantity (like chairs), with How many.
  • Lives in: the room it’s kept in.
  • Condition: Good, Needs repair, or Out of service.
  • Can be checked out: people with Facilities can borrow it.
  • It’s a vehicle: records the odometer when it goes out and comes back. Add Approved drivers.
  • Purchase and warranty: serial number, purchase date, cost, and warranty end date.
  • Notes: where the cables are, how to start it, quirks.

Print labels prints QR labels to stick on equipment.

Check something out

  1. Select Check out on the item.
  2. Choose who it’s For (Me or someone else), How many, and Bring it back by. For a vehicle, enter the Odometer.
  3. Save.

Return it

Select Return, then say How is it?: Fine, Needs a repair (still usable), or Broken, don’t use it. Anything other than fine opens a maintenance work order with your note.
