Messages & texting

Chat with your team

Message anyone on your staff, start group chats, and share files, polls, checklists, voice notes, GIFs, and dashboard records.

Everyone who uses your dashboard can chat in Messages. You don’t need a permission. Only the people in a chat can see it.

Start a chat

Select New message

Open Messages with Ctrl ⇧ M, then select New message.

Pick people under Staff

Type in Search staff and select each person. Select a name again to take them off.

Name the group (optional)

If you picked two or more people, add a Group name (optional), like “Sunday setup”. Groups can have up to 100 people.

Select Start chat

It says Start group chat for a group.

Write a message

Type in the box and press ↵ to send. Press ⇧ ↵ for a new line.

  • Links turn into links on their own, and the first link in a message gets a preview.
  • Type @ and pick someone to mention them. They get a notification, even if they’ve muted the chat.
  • Whatever you don’t send is kept as a draft while you look at other chats.
  • Messages can be up to 4,000 characters.

Add photos, files, and more

Select + (Add to message) or type / in the box to see everything you can add. Keep typing after the / to narrow the list, then press ↵.

AddHow it works
Photo or videoUpload from your computer.
FileA PDF, document, or spreadsheet.
PollLet the chat vote. See Polls.
ChecklistA shared to-do list. See Checklists.
GIFSearch for a GIF.
Voice noteRecord a quick message, up to 5 minutes.
Send laterPick a day and time. See Send later.

You can also drag files into the box, or paste them. Add up to 10 files to a message, each up to 20 MB.

Type /poll and your question, like /poll Which night works?, to start a poll with the question already filled in. /list works the same way for checklists.

Share a record

Share an event, person, group, form response, and more, right in a chat. Everyone in the chat sees a card with the latest details, like how many people have registered for an event, and can select it to open the record.

  1. Type / and the name of what you’re looking for, like /fall festival. To search only one kind of record, start with its type, like /event fall.
  2. Pick it from the list. A preview shows above the box. Select X (Don’t share this) to remove it.
  3. Send your message.

You can share people, events, groups, connect groups, calendar entries, forms and form responses, event forms, guest forms, blog posts, podcast episodes and series, videos, live streams, and point of sale items.

Pasting a link to a dashboard page shares that record too.

Teammates who don’t have permission to see a record, or a record that’s been deleted, show Not available instead. Hover over a person’s card to see their profile, with View full profile and View check-in.

Polls

Select Poll, then fill in Ask a question and up to 12 options. Choose Multiple answers to let people pick more than one, Anonymous to hide who voted for what, and when it Closes.

Everyone votes right on the poll. If you started it, use Close poll to end it, or Reopen.

Checklists

Select Checklist, add a Checklist title, and add up to 50 items. You can assign each item to someone, or leave it as Anyone.

  • Anyone can check off: turn it off so only you and the person an item is assigned to can check it off.
  • Pin to chat: keeps the checklist at the top of the chat.

The checklist shows how many items are done and who checked off each one. Anyone can Add item later.

A chat can have one pinned poll or checklist. To pin a different one, hover over it and select Pin to chat. Select Unpin to take it down.

Send later

Select Send later (the clock) and pick In an hour, Tomorrow morning, Monday morning, or another time, or Pick a date and time. The Send button changes to Schedule.

Scheduled messages show above the box. Select Send now, Change time, or Cancel for each one.

React, reply, edit, and delete

Hover over a message for its toolbar:

  • React with ❤️ 👍 😂 🙏 ‼️ or ❓.
  • Reply quotes the message in yours. Select the quote to jump back to the original.
  • Copy the text.
  • Edit or Delete your own messages. Edited messages say edited. Deleting removes the message for everyone.

To edit your last message quickly, press ↑ in an empty box. Press Esc to stop replying or editing.

You’ll see Seen under your last message once it’s been read, or Seen by and names in a group.

Manage a chat

Use the ⋮ menu at the top of a chat:

  • Pin keeps it at the top of your list.
  • Mute stops pop-ups and emails for it, except when someone @mentions you.
  • Show as threads or Show as bubbles changes how this chat looks. See Chat layout.
  • Rename a group, or Leave group. Once you leave, you won’t see its messages anymore.

Notifications and settings

Open Notification settings from the menu under your name and find Messages. The Messages button in the top bar always shows your unread count.

  • Pop-up previews: a card for each new message, with Reply and Open. On unless you turn it off.
  • Chat layout: Bubbles or Threads.
  • Unread messages: an email when a staff chat has messages you haven’t read for 15 minutes. Muted chats only email you when you’re @mentioned.

Pop-up previews and chat layout are saved in the browser you’re using.

Chat layout

  • Bubbles: your messages on the right, everyone else’s on the left, like texting on your phone.
  • Threads: every message on the left with the person’s photo, name, and time, like a team chat app.
